Create and manage a private registration link

A schedule-specific OC Private URL opens the Online Client class detail and, while its key is valid, adds an Event Registration form for that schedule. Use this feature only in a controlled no-payment test until your studio has verified its eligibility, capacity, family-account, notification, and finance results.

Current availability: DSM Next can create, display, and revoke a private URL from the Private Lessons edit dialog. The resulting form uses a separate quick-registration path, not the normal participant chooser, cart, checkout, payment, or invitation-only workflow. It is not yet safe to describe as a general-purpose private-event checkout link.

Warning: Anyone who has the complete private URL can use its registration form. The URL is not tied to one recipient, has no automatic expiration, and has no customer-facing view or recipient log. Treat it as a bearer credential: share it narrowly and revoke it when the test or registration window ends.

#Understand the three different controls

These controls solve different problems and must not be treated as interchangeable.

OC Direct Link Opens the Online Client class detail with a particular schedule selected. The URL contains the class and schedule IDs but no private key. It does not make the class private, grant eligibility, or bypass the standard registration path. Anyone who knows the URL can open it.
OC Private URL Adds a valid schedule key to the direct link. A matching key makes the separate Event Registration form appear. It does not hide the class or schedule, bind the link to one person, expire automatically, or prove payment.
Class Invitation Only registration Uses class eligibility records in the normal cart and checkout enrollment path. It does not create the OC Private URL. The current private quick-registration submission does not run the normal invitation-only checkout gate.

Important: A private URL is an unlisted registration capability, not a privacy boundary. Enabling it does not remove the class from the catalog, calendar, direct links, or other Online Client views. Use class, season, and schedule visibility controls separately when information itself must not be discoverable.

#Decide whether this path fits the event

For now, consider the private URL only for a controlled test that has all of these characteristics:

  • one clearly identified future schedule;
  • a fictional or otherwise approved test participant;
  • no payment, registration fee, deposit, package sale, or payment plan;
  • no Billing Schedule that could later create tuition;
  • enough capacity for the test without a waitlist decision;
  • no age, prerequisite, member-category, or invitation-only restriction that must be enforced;
  • no need to select a child or another family member;
  • outbound registration and schedule-status messages disabled, intercepted, or expected; and
  • an approved cleanup plan for the account, enrollment, class relationship, agreements, and any resulting financial state.

Do not use this path for a production registration when any of the following is material:

  • payment must be collected or authorized;
  • a registration fee must be charged;
  • a purchase, package, voucher, or existing credit must be assigned;
  • a client must choose among students in a family;
  • capacity, waiting-list, enrollment-window, age, category, prerequisite, or invitation eligibility must block enrollment;
  • a cancelled, hidden, full, or past schedule must remain blocked;
  • the invitation contains sensitive information; or
  • staff need recipient-specific links, automatic expiration, or a link-access audit.

Use the normal Online Client class and checkout workflow for those cases. See Control who can register for a class.

  1. Confirm the exact class, schedule ID, date, start time, instructor, season, and capacity.
  2. Confirm the schedule is in the future and is not cancelled, hidden, full, or otherwise closed.
  3. Review the class's price, payment method, Billing Schedule, registration fee, Online Client registration mode, and eligibility rules.
  4. Record the current class roster and class-level enrollment for the fictional participant.
  5. Review the participant's Purchases and Finance records so an unexpected change is visible.
  6. Review required Online Client profile fields, agreements, signature requirements, CAPTCHA or reCAPTCHA, and registration notifications.
  7. Use a trusted administrator or scheduler login. There is no clearly isolated Manage private links permission in the current interface, so test the exact login group before delegating this task.

Warning: Creating and submitting the link are separate actions. Creating the key does not enroll anyone. Submitting its form can create an account, accept agreements, create class and schedule enrollment records, and send notifications without using checkout.

#Create the visible private URL from Private Lessons

This is the only current staff interface that both manages the key and displays the resulting private URL.

  1. Open Private Lessons.
  2. Filter to the exact future schedule.
  3. Open the row's Edit action.
  4. Confirm the read-only class, season, date, start and end time, instructor, and OC Direct Link.
  5. Select allow registration via private URL.
  6. Select the save action once.
  7. Read the result. If the page reports a private-URL warning or another partial-save warning, do not share a link.
  8. Reopen the same schedule's Edit dialog.
  9. Confirm that OC Private URL is visible and that the checkbox remains selected.
  10. Open OC Private URL in a new tab. Copy the complete address from the browser only after confirming that it contains the intended studio, class, and schedule.

The private URL is not displayed in the create dialog immediately after a new private lesson is saved. Reopen the saved schedule to retrieve and verify it.

#The general schedule editor is only a partial path

The individual Edit Schedule page currently includes Allow registration via private URL, but it shows and copies only the OC Direct Link. It does not display the generated private variant.

An administrator can turn the checkbox on and save to create a key, but the page does not provide a coherent way to retrieve it. More importantly, an unchecked HTML checkbox is omitted from the current save request, so unchecking it on this page is not a reliable revocation method.

Do not use the general schedule editor as the private-link management procedure. Use the Private Lessons edit dialog for a schedule that legitimately belongs on that page, or wait for the general editor's create, display, copy, and revoke behavior to be completed and verified.

First test the display without submitting anything.

  1. Open a private or signed-out browser window.
  2. Paste the complete OC Private URL.
  3. Confirm the correct studio, class, and selected schedule.
  4. Confirm that an Event Registration form appears.
  5. Review the fields, agreements, security challenge, displayed registration fee, and submit-button wording.
  6. Close the window without submitting if any class, date, price, fee, agreement, or policy is unexpected.

Important: A signed-in client currently sees a different version of the quick-registration form. Source review shows that the signed-in form omits identity and security inputs that the submission still validates. Treat signed-in submission as unverified and likely to return validation errors. It also does not provide the normal family-student chooser.

For one approved signed-out test submission:

  1. Use a fictional name and a non-deliverable or approved test email address.
  2. Complete only the required profile fields.
  3. Review every agreement before accepting or signing it.
  4. Complete the security challenge.
  5. Submit once.
  6. Save the displayed result and any email or staff notification produced by the test.
  7. Do not retry until staff have checked the account, roster, class relationship, schedule relationship, agreements, notifications, purchases, charges, payments, and tuition state.

The signed-out path can create an Online Client account and enroll that new record directly. If the email already belongs to an account, the current path can fail rather than hand the person to a normal sign-in and family-selection flow.

#Know what a successful submission can change

The private form does not follow the normal Choose your purchase option > Cart > Checkout sequence.

Current source shows this order of operations for a signed-out submission:

  1. validate the schedule key, required profile fields, agreements, and security challenge;
  2. create a new client/member record when no signed-in client context exists;
  3. send new-registration notifications when configured;
  4. save agreement acceptance and signatures;
  5. create or reactivate the class relationship and attach the person to the schedule; and
  6. run schedule-status notification triggers when configured.

It does not create a Shopping Cart order, collect a payment, or create a Sales Item purchase in the tested quick-registration path. A Billing Schedule class can still receive a class-level price and Billing Schedule relationship, which may make the enrollment appear in a later tuition process.

Warning: The form can display a configured registration fee even though this path does not collect that fee through checkout. Do not use it when a fee or immediate payment is required.

Warning: Account creation, notifications, and agreement records happen before enrollment success is confirmed. A failed final enrollment can therefore leave partial records that need manual review.

The current quick-registration controller validates the key but does not call the standard client eligibility, capacity, waiting-list, invitation-only, season-window, or checkout enrollment gates. Do not assume those rules protect a private-link submission.

  • Send the complete URL only to the intended small audience.
  • Explain that it must not be forwarded or posted publicly.
  • Do not place it on a public page, social post, QR code in an uncontrolled location, or reusable document.
  • Avoid public URL shorteners, which add another service and make the destination harder to inspect.
  • Remember that the URL can remain in email history, browser history, analytics, screenshots, support tickets, and copied messages.
  • Tell recipients which exact class, date, and time the link is for.
  • Give a manual registration deadline and plan to revoke the key at that time.
  • Keep a separate recipient list if the studio needs to know who was invited; the software does not derive that list from link access.

Do not put the private key in a screenshot, video, knowledge-base example, or support message. A publication screenshot should use a disposable fixture and redact the query value.

#Revoke a private URL

Revocation invalidates the quick-registration key for everyone who has the old URL.

  1. Open Private Lessons and locate the exact schedule.
  2. Open Edit.
  3. Clear allow registration via private URL.
  4. Save once.
  5. Reopen Edit.
  6. Confirm that OC Private URL is no longer shown and that the checkbox remains clear.
  7. Open the previously saved URL in a signed-out private window.
  8. Confirm that the Event Registration form no longer appears.

The old URL can still open the ordinary class-detail page because the class and schedule portion of the address remains valid. Revocation removes the key-enabled quick form; it does not hide the class, close normal registration, cancel the schedule, or remove anyone already registered.

If normal registration must also stop, use the appropriate class, season, schedule, visibility, and enrollment controls separately. Do not delete a schedule merely to invalidate its private link.

The feature does not provide a one-select Rotate key action. To replace the key:

  1. Revoke the existing URL and save.
  2. Reopen the schedule and confirm the private URL is absent.
  3. Select allow registration via private URL again.
  4. Save and reopen the schedule.
  5. Confirm that the new private URL differs from the old one.
  6. Test the old URL for absence of the quick form.
  7. Test the new URL without submitting.
  8. Share only the new URL.

You cannot revoke the link for one recipient while keeping the same link valid for everyone else. Rotating it invalidates every old copy.

#Confirm the controlled test

After one approved submission, verify all of the following before considering broader use:

  1. the expected fictional account was created;
  2. the correct class relationship exists;
  3. the correct schedule roster contains the participant once;
  4. no different class or schedule was affected;
  5. capacity did not exceed the approved maximum;
  6. agreements and signatures belong to the correct record;
  7. expected registration and schedule-status notifications were sent once;
  8. no Shopping Cart order, unexpected purchase, payment, charge, or scheduled payment was created;
  9. no Billing Schedule or tuition consequence was introduced unexpectedly;
  10. the link can be revoked and the old quick form disappears; and
  11. all fictional records can be cleaned up through an approved process.

Do not infer success only from the confirmation message. Compare the admin roster, client account, class enrollment, purchases, and finance records.

#Troubleshooting

#The checkbox saved, but no private URL appears

Close and reopen the Private Lessons edit dialog. The page retrieves the link after reopening. If it is still absent, stop and record the schedule ID and any save warning. Do not try to reconstruct the key manually.

If you used the general Edit Schedule page, that page currently displays only the direct link. It is not the complete management path.

The direct link intentionally has no private key. Return to the staff edit dialog and use the displayed OC Private URL. If the private URL was revoked, mistyped, truncated, or changed, the quick form remains hidden.

#A signed-in client cannot submit

Use the normal class registration workflow. The current signed-in private form does not render all fields that its submission validates and does not offer a family-member chooser.

#The form registered a person without payment

Stop using the link. This is the current quick-registration boundary, not evidence that a zero-dollar checkout completed. Review the class relationship, roster, Billing Schedule, tuition preview, registration fee, purchases, charges, payments, and notifications with the finance owner.

#An ineligible, uninvited, full, cancelled, or past schedule accepted a registration

Stop sharing the link, revoke it, and review every resulting record. The private quick-registration path does not currently run the normal eligibility, invitation, capacity, waitlist, date/status, and checkout gates.

#The old URL still shows the class after revocation

That is expected when the ordinary class-detail page remains available. Confirm specifically that Event Registration is absent. Use normal visibility and registration controls if the class itself should not be accessible.

#The wrong family member was enrolled

Revoke the link and use the approved correction process. The private quick-registration path does not provide the normal family-student chooser. Do not submit again as another person until the original class, schedule, finance, agreement, and notification records are reconciled.

#A new account exists, but enrollment failed

Review the account, agreements, notification history, class relationship, and schedule relationship separately. The current operation can leave partial state because account and agreement work precedes final enrollment confirmation.
