#People and access

Account / family
The household or guardian-level record that can hold contact information, related students, balances, payment methods, purchases, agreements, and communication history.

Student / member
The person who enrolls in a class or receives a service. Older/internal sources can use “member” more broadly.

Staff
A person with a studio-side record or login, such as an owner, office administrator, or instructor.

Instructor
A staff role that can be assigned to classes, lessons, schedules, availability, attendance, or payroll.

Permission group / login group
The access profile that determines which studio areas and actions a user is allowed to use.

Online Client
The customer-facing area used by families and students. Older material may call it the client portal or “OC.”

Impersonation / Login As Client
An administrator temporarily views the Online Client area as a selected account. The interface should show a banner during this session.

#Classes and scheduling

Class
The reusable definition of a group class, including classifications, registration rules, capacity, pricing, and date range.

Schedule / class meeting
A dated occurrence of a class. One class can have many schedules.

Enrollment
The relationship connecting a student to a class or schedule.

Active / Waiting / Eligible
Common enrollment states: participating, on a waitlist, or currently eligible to be added.

Drop-in
Registration for an individual class date rather than the full class, when enabled.

Season
A date and enrollment boundary used to group classes and control registration, visibility, fees, and waitlists.

Room / location
The physical or virtual place assigned to a class, lesson, or event. A location can contain one or more rooms depending on studio setup.

Private lesson / private event
A scheduled service for selected participants rather than a standard group class. Availability and purchase requirements are configurable.

#Categories and pricing

Category
A configurable classification. Always qualify it when possible: class genre/category, member category, charge category, purchase category, or message category.

Billing schedule
A tuition calculation or billing frequency configuration associated with classes.

Pricing level
A student/account tier used by supported pricing and discount rules.

Sales Item
A configured item that can be sold, such as a product, lesson package, membership, bundle, gift card, or room booking.

Inventory variant
A sellable version of a product, such as a particular size/color, with stock tracked by location.

Cart item
A pending selection that has not completed checkout.

Purchase
A completed acquisition of a Sales Item or entitlement. A purchase is not the same as the charge or payment that financed it.

Order
The completed checkout record that groups one or more items and related totals.

#Finance

Charge
An amount added to the account as owed.

Payment
Money received or a confirmed processor transaction.

Applied payment
A payment or credit matched to one or more charges.

Unapplied payment
Value recorded on the account but not yet matched to a charge.

Balance
The amount still owed after relevant payments, credits, and adjustments.

Credit
Value that reduces an amount owed or remains available to apply, depending on the screen.

Scheduled charge
A future charge expected from configured activity, such as a lesson.

Scheduled payment
A plan or instruction to collect money later. It is not proof that a payment succeeded.

Auto payment / autopay
Processing an eligible account balance against a stored method according to studio rules.

Card/ACH token
A stored processor reference to a payment method. The software should not expose full card or bank credentials.

Payment hold
A configured pause or exception that prevents supported scheduled/automatic collection for an account.

Gift card
Stored value that can be purchased, given, redeemed, and tracked according to studio rules.

Voucher
A configured value/entitlement record used by supported payment workflows; availability depends on payment configuration.

#Status and maintenance

Archive
Hide or deactivate a record while retaining history. It is not necessarily deletion.

Restore
Return an archived record to active use.

Tenant / client slug
Internal terms for one studio’s isolated environment and its URL identifier. Customer-facing instructions should normally say “studio.”

Global tuition
A studio-wide tuition preview/run workflow that creates charges from billing schedules and filters.

Scheduled trigger
A rule that can send a configured message after or before an event when the scheduler and delivery services are active.
