Settings overview

Use Settings to define the records and rules that the rest of Dance Studio Manager relies on.

#Before you change a setting

  • Note the current value and the workflow that uses it.
  • Test changes with a fictional client, student, class, or purchase when possible.
  • Coordinate changes to registration, pricing, payment processors, permissions, and automated messages with the people who use those workflows.
  • Remember that the exact settings and labels can differ by studio.

Warning: A settings change can affect Online Client visibility, registration eligibility, prices, future charges or payments, staff access, and automated messages. Do not change a live financial or access setting only to explore what it does.

#Open Settings

Select Settings in the left navigation. It expands into a list of destinations rather than opening a single settings home page.

The a test studio administrator view showed the following destinations. A studio may show fewer choices when a feature is disabled or the signed-in role does not have access.

#Branding and organization

Destination What it controls
Branding & Logos Studio branding assets used by supported admin and client-facing surfaces.
Categories Studio-defined classification lists, including the values used to organize classes and other records.
Global Settings Searchable studio-wide settings. The available rows, categories, and field types come from the studio's configuration.
Online Client Studio-specific settings for Online Client behavior and visibility.
Pages Agreements, waivers, contracts, explanatory text, and other managed content used by registration and checkout workflows.

#Registration, classes, and scheduling

Destination What it controls
Seasons Season dates, enrollment opening, visibility, registration blocking, fees, and wait-list options.
Rooms Room definitions, availability, capacity, booking rules, and optional Online Client room booking.
Private Lessons Default lesson duration and the availability window used by private-lesson scheduling.
Poll Questions Questions that can be targeted to clients or students and reviewed through reporting.
Videos Video links, display dates, and access restrictions by class, schedule, or member category.

#Pricing, sales, and payments

Destination What it controls
Coupons Coupon codes, discount values, expiration, usage rules, and eligible classes or Sales Items.
Multi-Class Discounts Discounts based on pricing level and the number of classes.
Sales Items Items, products, packages, bundles, gift cards, room bookings, pricing, restrictions, payment plans, and contracts.
Payment Processors Studio payment-system and payment-method settings. The exact fields depend on the configured processor.

Important: A Sales Item can participate in checkout, purchases, inventory, memberships, private lessons, room booking, agreements, scheduled payments, and package use. Document the intended result before changing an item already in use.

#Staff, access, and automation

Destination What it controls
Group Permissions Login groups and their access to setup, finance, communications, reports, people, classroom features, menus, and actions.
Payroll Class-specific and instructor-specific hourly rates used by payroll workflows.
Signatures Reusable rich-text signatures for messages.
Scheduled Triggers Event-based email or SMS automation, including templates, audience filters, delay, and status.

Warning: Hiding a menu item and protecting every direct action are separate concerns. Use an account in the affected login group to verify the practical result of a permission change.

Warning: Enabling a scheduled trigger can send messages when the server scheduler and delivery services are active. Review the audience, template, timing, and studio safety settings before enabling it.

#Conditional settings

Some settings appear only when their underlying feature and permission rules allow them. Pricing Sandbox, for example, is a restricted testing surface and is not a normal production workflow. Payment, room-booking, payroll, and communication choices also depend on studio configuration and connected services.

#Confirm a change worked

  1. Save the change and confirm the page reports success.
  2. Reload the settings page and verify the saved value.
  3. Open the affected workflow in a separate test account or role.
  4. Confirm both the intended result and any important alternate state, such as an ineligible client, a hidden class, or a user without permission.

For Online Client changes, verify both a signed-out visitor and a signed-in fictional client when the setting can affect them differently.

#Troubleshooting

#A settings destination is missing

The signed-in group may not have access, or the related feature may be disabled. Ask an owner or administrator to compare the login group's permissions and studio configuration.

#A saved setting did not change the workflow

Confirm that you changed the setting for the correct studio and that the test record meets its dates, categories, status, and eligibility rules. Some integrations and background jobs also require valid external configuration.

#The available settings do not match this article

That can be expected. Global Settings, Online Client, and Payment Processors are data-driven and may contain different fields for different studios. Use the on-screen label and description as the source of truth for the studio you are managing.
