Staff account

Staff sign-in, profile, password, theme, and logout

Use your own staff account to sign in to the Studio Manager, update your account details, choose a browser theme, change your password, and end the session securely.
For: Studio owner, administrator, office staff, instructorUpdated 2026-07-16

#Before you begin

  • Use the Studio Manager URL supplied by your studio. Online Client credentials and staff credentials can lead to different areas.
  • Have your own username or account email and password.
  • Your staff record must be active, unlocked, and in a login group permitted to enter the Studio Manager.
  • Do not share an administrator account. Ask an owner or administrator to create or correct your individual staff login.

  1. Open your studio's Studio Manager sign-in page.
  2. Enter Username. If your account has a usable email address, the same field can also accept that email.
  3. Enter Password.
  4. Select Login.
  5. Confirm that your name or initial appears in the upper-right account control.

The pages and actions you see depend on your login group, studio settings, and record state. A successful sign-in does not mean that every menu destination should be available to you.

#Reset a forgotten password

  1. On the staff sign-in page, select Forgot your password?
  2. Enter the email address associated with your staff login.
  3. Select Email Password Reset Link.
  4. Open the newest reset message sent to that address.
  5. Follow the link, enter and confirm a new password, and submit the form.
  6. Return to the studio sign-in page and sign in with the new password.

If no message arrives, check spam or junk mail and confirm the account email with an administrator. Do not repeatedly request links if the studio's email delivery is having a known problem.

#Open the account drawer

Select your round initial or avatar in the upper-right corner. Its tooltip is Account & Theme. The drawer shows:

  • the signed-in name, member ID, and login group;
  • Theme;
  • Profile;
  • Change Password;
  • Logout; and
  • conditional quick links such as View All Alerts.

Use this identity summary to make sure you are in the intended account before changing data.

#Choose a theme

  1. Open Account & Theme.
  2. Select a value under Theme.
  3. Confirm the page changes immediately.
  4. Close and reopen the drawer or move to another page to confirm the choice remains.

Available choices currently include Light, Dark, Classic, Wintergreen, Studio Teal, purplexed, Ballet Blush, Submarine, Retro, Valentine, and Blue Sky.

The choice is saved in the current browser for this studio. It can differ in another browser, Windows account, device, private window, or cleared browser profile. Changing your personal theme does not change the studio's default branding for everyone else.

#Update your profile

  1. Open Account & Theme.
  2. Select Profile.
  3. Review Name and Email.
  4. Make the required change.
  5. Select Save.
  6. Confirm the page reports Profile updated.
  7. Open the account drawer and verify the displayed identity.

Warning: In the current legacy-compatible staff account, changing Name can also update the username used for sign-in. Record the intended sign-in name before saving and test it in a separate signed-out browser session when changing a live account.

The email address must be valid and unique where the studio's account table supports that check. It is also the address used for password recovery, so do not replace it with a shared or inaccessible mailbox without an approved reason.

#Change your password while signed in

  1. Open Account & Theme.
  2. Select Change Password. You can also open Profile and select Password Settings.
  3. Enter Current Password.
  4. Enter New Password.
  5. Enter it again under Confirm Password.
  6. Select Save New Password.
  7. Confirm the page reports Password updated.
  8. Use Logout, then sign in again with the new password.

The current password rule requires at least eight characters with mixed letter case and numbers. Use a unique password stored in the studio's approved password manager; a longer passphrase is preferable.

#Logout

  1. Open Account & Theme.
  2. Select Logout.
  3. Confirm that the Studio Manager returns to a signed-out page.
  4. Close the browser when using a shared or public computer.

Logging out ends the application session. It does not erase downloads, browser history, saved passwords, or files left on the device.

#Confirm it worked

  • The account drawer shows the expected person and login group.
  • The selected theme persists after moving to another page in the same browser.
  • Profile reloads with the saved name and email.
  • The old password no longer signs in after a successful password change, and the new password does.
  • Logout prevents returning to protected pages without signing in again.

#Troubleshooting

#Login is rejected

Check the studio URL, username/email spelling, keyboard state, and password. After several failures, wait for any displayed lockout period rather than continuing to guess. Ask an administrator to confirm that the staff record is active, unlocked, and in an allowed login group.

#The password-reset email does not arrive

Confirm the email address on the staff account and check junk mail. The studio's outgoing email service may also be unavailable. An administrator should correct the account or delivery issue without asking you to send the current password.

#A menu or action is missing

Your login group may intentionally have narrower access, or the feature may be disabled for the studio. Ask an owner or administrator to review the role and feature rather than using someone else's account.

#The theme did not follow me to another device

Theme selection is stored in the current browser for the current studio. Choose it again on the other device or browser profile.

#My username changed after I edited Profile

Use the updated Name value at the next sign-in, or ask an administrator to review the staff profile. Do not create a second staff account solely to recover from an unintended rename.
