View your account and make payments

Use Finance to review charges and payments, download available records, manage saved payment methods, and make an online payment when the studio allows it.

#Before you begin

  • Open the account menu and select Finance. The exact set of finance tabs depends on the studio's settings and payment processor.
  • You may see Ledger, Make Payment, Cards, Cards and Bank Accounts (ACH), Cards and Direct Debit Accounts, Scheduled Payments, or Recurring Payments and Subscriptions.
  • An online payment normally requires an eligible saved card, bank account, or direct debit account. Some processors open a separate secure hosted form when you add a payment method.
  • A scheduled payment is a future payment instruction. Its presence does not prove that funds have been collected.
  • Never send a complete card number, bank account number, security code, or payment token through email or an ordinary studio message.

Warning: Selecting Make Payment can initiate a real transaction. Review the selected charges, amount, fees, and payment source before submitting, then select the button only once.

#Review your ledger

Start with Ledger for account history; when online payments are unavailable contact the studio.
  1. Open the account menu and select Finance.
  2. Select Ledger if the tab is available.
  3. Review the account summary. Depending on studio settings, it can show Total Charged, Total Paid, Pending, and Balance.
  4. Review the Charges table. Each row can show the date, category, class, notes, amount charged, amount paid, and remaining balance.
  5. Review the Payments table if it is shown. A payment row can include its date, type, masked number, check or receipt number, notes, amount, and Payment Receipt link.
  6. Select Payment Receipt to open the receipt for a specific payment when that link is available.
  7. To create an available statement, choose a Season and Date range, then select PDF Invoice. Studios can turn this option off.

Note: A positive Pending amount can represent scheduled activity. It should not be treated as a completed payment.

#Add or manage a payment method

  1. From Finance, select the tab for Cards, Cards and Bank Accounts (ACH), or Cards and Direct Debit Accounts. The label varies by studio and country.
  2. To add a method, select Add Card, Add Bank Account (ACH), or Add Direct Debit Payments.
  3. If a secure hosted form opens, complete that form and follow its return instructions.
  4. Otherwise, enter the billing name and the payment details requested by the studio's processor.
  5. Select set as default if this should be the method selected first for future payments.
  6. If the studio offers the option, select agree to enroll in automatic regular payment only when you intend to allow automatic payments on this method.
  7. Select Save Card or Save Bank Account, then wait for the success or error message.

The payment-method list can also offer these controls:

  • Set default changes which saved method is selected first.
  • Auto Payment changes auto-pay between On and Off when the studio permits client changes.
  • Remove deletes an eligible saved method after confirmation.

Warning: Turning Auto Payment on authorizes future automatic payment activity under the studio's policies. Turning it off does not refund past payments or erase ledger history.

Important: The studio can prevent removal of the last saved method. A method linked to scheduled payments also cannot be removed until those instructions are resolved.

#Make an online payment

  1. From Finance, select Make Payment. You can also select Pay Now from the ledger when it is shown.
  2. Under Charges, select each charge to include.
  3. If Discount Coupon is available, enter the code and select Apply Discount. Confirm the displayed charge total changes before continuing.
  4. Review Amount. You can edit it only when the studio allows partial payments.
  5. Select the intended Payment Source.
  6. Enter or confirm Billing First Name and Billing Last Name.
  7. Enter Card Verification (CVV2) only if the form requests it.
  8. Review any Convenience Fee Rules and the Summary, including Selected charges, Convenience fee, and Total to pay.
  9. Confirm the selected charges, payment source, and final amount.
  10. Select Make Payment once and wait while the page shows Processing payment....

When the processor confirms success, the payment is recorded and applied to the selected charges first. If the studio allows a payment amount greater than those selected balances, the remaining amount can be recorded as account credit.

Important: Do not repeat the payment merely because the response takes longer than expected. Check the ledger and contact the studio if the result is unclear.

#Review scheduled payments

  1. From Finance, select Scheduled Payments if it is available.
  2. Review the Date, Purchase, Amount, Payment Method, and Status for each instruction. Location can also appear.
  3. Contact the studio before the listed date if the purchase, amount, source, or timing looks wrong.

The Online Client scheduled-payments page is a review screen. A row documents an instruction and its current status; it is not a receipt.

#Review or change recurring payments

  1. From Finance, select Recurring Payments and Subscriptions if it is available.
  2. Review the payment method and each recurring row's schedule, start date, next payment, remaining count, item, amount, and status.
  3. If an enable or disable control is offered, review the row carefully before changing it.
  4. Confirm that the page reports Recurring payment status updated.

Warning: Disabling a recurring instruction changes its future status. It does not cancel the underlying purchase, refund an earlier payment, or remove its history. Contact the studio when you also need to change the purchase or enrollment.

#What happens next

  • A confirmed online payment appears in the account's finance records and can have a Payment Receipt link.
  • A saved payment method appears with masked identifying information. It can also show Default or Auto-pay On.
  • Scheduled and recurring screens continue to show their own future instructions and statuses.
  • A payment processor can take additional time to settle funds after the software accepts a transaction. Follow processor or studio messages when final settlement matters.

#Confirm it worked

For a payment, look for the success message Payment submitted successfully., then verify the new payment in Finance > Ledger. Use Payment Receipt when available.

For a saved method, return to the payment-method list and verify that its masked label appears. Confirm the Default and Auto-pay On badges only if you selected those options.

Say that a payment was processed only when the interface or payment processor confirms it. A scheduled row, a selected card, or a spinning submit button is not confirmation.

#Troubleshooting

#A finance tab is missing

The studio can hide the ledger, online payments, saved methods, scheduled payments, or recurring payments independently. The processor can also limit card, ACH, direct debit, saved-source, or recurring capabilities. Contact the studio if a feature you were told to use is absent.

#No saved payment methods are available

Select Add Card or Add Bank Account if offered. If the page says a saved method is unavailable for live payments, follow the instruction to re-add it or contact the studio. Do not enter payment details in a message as a workaround.

#A payment method cannot be removed

The studio may disable removal, protect the last saved method, or require a method that is linked to scheduled payments. Resolve the scheduled instruction with the studio before trying again.

#The payment amount is not editable

Partial payments are disabled. Select the intended charges and use the amount calculated by the page.

#The payment result is unclear

Do not submit again immediately. Review Finance > Ledger for a new payment and receipt, check any processor message, and contact the studio with the time and amount of the attempt. Do not include complete card or bank details.

#PDF Invoice is missing

The studio can disable Online Client statements. A receipt for an individual payment may still be available in the Payments table.
